The ESL service (Electronic signature logging) allows you to speed up and simplify the process of signing documents within the company, puts an electronic signature and verifies the signed document.

The use of the ESL significantly reduces the time and financial costs for collection, registration, delivery, accounting and storage of documents. Thanks to a sophisticated encryption system, an electronic signature guarantees the authenticity of documents and confidentiality of data exchange.

Objectives

It was necessary to develop a solution that would simplify the workflow process for both HR specialists and the rest of the company. This solution will be very relevant for organizations whose employees work remotely and / or are located in different cities.

Result

As a result, we have developed a service that provides 3 activities:

1.      Getting the code

2.      Document signing

3.      Signing document verification

Work description

1.      Load the file to be signed to disk. Pay attention to the file ID. (screenshot 3)

2.      Go to the News tab> More> Processes> Settings> Create a new one. We create a new business process and name it ESL. (screenshots 4-5)

3.      Create a new element (screenshot 6)

4.      To create the first business process (Get the code), go to the Actions tab> Configure business processes> Create sequential business process. (screenshots 7-9)

5.      Click on the triangle icon in the business process> Application Actions> [HiHub ESL] Receiving a confirmation code. We save the changes. (screenshot 10.1)

6.      Go to the ESL tab, the functions of the element, start the business process Getting the code. After that, a five-digit code has been sent to the mail.( screenshot 13)

7. Create a second business process: Document signing (screenshot 12)

Actions> Configure Business Processes> Create a Sequential Business Process. (screenshot 13.2)

In the business process, we create a new element:

Click on the triangle icon in the business process> Application Actions> Request additional information. We make the necessary changes to the created element by clicking on the gear icon:

- Employees to provide additional information - Element fields – Created by (screenshots 14.1, 15)

- assignment description - Insert the file ID code

- Fields - add a “code” field, follow the directions in the screenshots (screenshot 18)

- Fields - add the “file ID” field, follow the directions on the screenshots (screenshots 19,20)

- Text> Additional parameters (…)> Variables> Code. After the val ue of the variable appears, we indicate the variable itself through the equal sign (see the screenshot).

We do the same with the variable “file ID”

Press the "Save" button.

Go to the Business Processes tab on the left pane. We indicate the file ID for signing and the five-digit code that we previously received by mail. Click "Save" (screenshots 28, 28.1, 28.2)

- We indicate the assignment name and assignment description

16. We launch the third business process. (screenshot 37)

Go to the Business Processes tab on the left pane. Specify the file ID for signing and the hash that will appear in the “Document signing” log (News> More> Processes> Settings> ESL> Element created by us> Business processes> Document signing> Completed (screenshots 38, 39)

Click "Save"

17. Next, we check the status of the business process (Log: document signature verification). If the result is: Y - the document has been signed, if N – has not, an error will be indicated in the comment. (screenshots 40, 41)

Important!

1. When we send verification of a document, in the "Run as" field it is necessary to indicate the user who signed this document,

accordingly, on whose behalf the activity is launched, the signature of that person is verified. Similarly, with the receipt of the code - on whose behalf the activation is launched, the code will be sent to that mail.

2. In case the document is not signed during the sequential start of all business processes (result: N), pay attention to the type of error:

1.      Authorization error: Authentication failed

2.      Validation error

3.      File not found or access to file is denied: File upload error

The confirmation code was not found or the validity period of the code 6 hours has expired (if the document is signed): Your confirmation code is invalid / Invalid code received
